Description :
Center for Creative Works seeks an experienced Office Manager to assist with all elements of administration organization. This position will mostly be located at our studio in Wynnewood with the possibility of time in our Philadelphia location as well. The Office Manager will hold a management role in our organization and work closely with the Director, Assistant Director and Fiscal Administrator to keep administrative functions organized and compliant as well as help with the overall structure, and maintenance of office and organizational systems. The OM will also have a seat at the table in brainstorming and new ideas, growth creation of new initiatives for the program, and our artists and opportunities to contribute ideas and hold an important role in this unique, continuously growing creative organization!

CCW is a progressive art studio with a focus on the professional development and representation of neuro-diverse artists. CCW supports our artists to gain social capital and visibility through their artistic practice.

The Office Manager at CCW works within the PA ODP regulations for a 2390 program and is responsible for managing various organization systems within the organization as well as assisting other management team members The work is a good balance of hands-on working within an established framework as well as the opportunity to revise and build new systems in this creative arts organization. Staff Management:

Supervises clerical staff including Administrative Assistants, File Clerks, and Receptionists.

Fiscal Administration:

Purchase/order/distribute/maintain office supplies.
maintain vendor relationships.
Complete and maintain forms, documents, and records related to the participants, employees, or the program in a timely and effective manner.
Submit appropriate documentation to custodial department noting new admissions, etc.; follow up with change forms as necessary.

HR Administration:

Maintain and track all staff training requirements.
Provide administrative support to the Program Director for all employment-related activities including staffing, new hire processing, training record retention, and any other processes directed by the Program Director.
Other duties as assigned.
Maintain employee files.
Assist team with the creation of systems and tracking tools as needed.
Work with Assistant Director on ongoing auditing of consumer files and other ongoing organizational needs.
Coordinate CCW team events such as in-service training days, celebrations, and other team-building events.
Assist in licensing preparation.
Assist in disseminating marketing for events.

Qualifications:

Proven track record with organizational and time management skills.
Minimum of one year working in an Office Management or equivalent position.
experience working with people with Intellectual Disabilities is a plus.
Experience in an arts organization is a plus.
A Bachelor’s Degree with one year of related work experience or an Associate’s Degree with three years’ related work experience.
Strong written and verbal communication skills.
Organization and the ability to multitask to complete a variety of tasks.
Strong interpersonal skills and the ability to interact positively with all employees.
Attention to detail to ensure tasks are completed thoroughly and correctly.
Good self-direction skills.
Ability to work with a diverse group of people in a fast-paced, open office environment.
