JOB TITLE: Practice Manager
GENERAL SUMMARY OF DUTIES: Manages and coordinates all day-to-day management of the personnel and operations that support the delivery of comprehensive health care services in a manner that most satisfies patients and promotes financial stability.
SUPERVISION RECEIVED: Reports to Lead Physician and DE Operations Manager
SUPERVISION EXERCISED: Supervises office staff.
ESSENTIAL FUNCTIONS:
Recruiting, interviewing and hire new staff.
Conduct performance evaluations for staff members.
Oversees daily office operations and delegates authority to assigned Supervisors.
Ensures compliance with standard and HIPAA policies relating to Patient registration, billing, medical records, and documentation issues.
Ensures compliance with OSHA policies.
Develops guidelines for prioritizing work activities, evaluating effectiveness, and modifying activities as necessary. Ensures that office is staffed appropriately.
Identifies, analyzes, and resolves work problems.
Oversees office payroll and leave records. Trains staff on new procedures and policies.
Oversees and approves office supply inventory, ensures that mail is opened and processed, offices are opened and closed according to procedures.
Ensures that patients are treated courteously by office staff and that other visitors are screened and properly directed.
Ensures that requests for information are handled promptly and effectively.
Develops and monitors office budgets, monitors resource utilization.
Assists physicians in non-medical functions, which may include, but are not limited to, coordinating meetings, responding to internal and external inquiries, and setting up lectures and presentations.
Creates physicians’ monthly office and hospital schedule.
Attends job-related training, in-services, and courses as appropriate to job responsibilities.
Performs other duties as required or directed.
Maintains strictest confidentiality.
The job holder must demonstrate current competencies applicable to the job position.
EDUCATION: Associate Degree or two years of college required. Bachelor’s degree preferred. Courses in medical terminology and health care office management preferred.
EXPERIENCE: Minimum of three years of administrative experience including one year of medical office experience.
KNOWLEDGE:
Knowledge of organizational policies, procedures and systems.
Knowledge of staff hiring procedures.
Knowledge of budgeting, cost estimating, and fiscal management principals and procedures.
Knowledge of computer systems and applications.
Knowledge of medical practices, and terminology.
Knowledge of grammar, spelling, punctuation and sentence structure to answer correspondence and prepare reports.
SKILLS:
Skill in planning, organizing, delegating and supervising.
Skill in evaluating the effectiveness of existing methods and procedures.
Skill in operating a variety of office equipment and computer programs.
ABILITIES:
Ability to problem-solve and make decisions.
Ability to supervise and train employees.
Ability to communicate effectively, both orally and in writing.
Ability to set priorities among multiple requests.
Ability to interact with patients, medical and administrative staff, and public effectively.
FLSA: Exempt Status
PHYSICAL/MENTAL DEMANDS: Requires sitting and standing associated
with a normal office environment.
ENVIRONMENTAL WORKING CONDITIONS: Normal office environment.
