Position : Executive Administrative Assistant

Description :
Function as liaison between President, Management and Volunteers.
Work with the President to coordinate scheduling for meetings as requested by the President and/or Executive Team.
Work extensively with the Chairman of the Board, answer questions, provide information as requested, coordinate meetings as requested, assist with questions regarding software and telephonic equipment.
Responsible for preparing agenda and assembling supporting documents for Board of Directors.
Ensures all new/transferred employees are set up in company communication software, maintaining software, and answering questions by management and staff regarding this software. Ensures new software enhancements are up to date.
Coordinate all travel arrangements for president, volunteers and staff for all business trips, seminars, training, and conferences.
Review and approve all expense reports for staff and volunteers in accordance with internal audit requirements.
Maintain and update volunteer travel budget reports for the Volunteer Education & Development Committee Chairperson.
Coordinate all off-site executive team, senior team, and various volunteer meetings. Attendance at these functions as requested by President/Chairman of the Board.
Inform and schedule participation for all outside credit union activities for volunteers and VCU staff.
Provides excellent customer service in escalated member inquires in presidents absence.
Exercise confidentiality, tact, judgement, initiative, and extensive knowledge of presidents functional areas. Make appointments for president and explain presidents requirement and instruction to executive team members, managers and employees as needed.
Prepare all correspondence for president to volunteers, staff, vendors, and business partners. Prepare all senior team evaluations and edit as needed to ensure consistency and accuracy.
Compile presentations/reports as requested by president, executive team, and senior team.
Maintain official minute books, records retention logs and other executive and administrative files.
Oversee all supplies for administration, executive team, and senior team members when necessary.
Maintain attendance calendars and time clock system for the President and executive team.
Reconcile vendor invoices related to the administrative function.
Perform specific and delegated duties, assigned by the president, in addition to special assignments as requested by the volunteers and senior team.
KNOWLEDGE: The individual should have at least five years of executive administrative experience. At least two years of increasingly responsible administrative experience to acquire the necessary abilities and experience to provide administrative support functions, assistance with delegated administrative duties, and exercise independent judgement

Excellent written and oral communication skills demonstrating the ability to share and impart knowledge.
Proficient with Microsoft Office products.

*EDUCATION/EXPERIENCE: *
Bachelors degree, or a combination of education and experience of at least 5 years
At least 5 years of administrative experience, with at least 2 years in a position with increasing responsibility.
Experience supporting C-Level executives.
PHYSICAL REQUIREMENTS: The position requires the following physical activities within varying environmental conditions:
Occasionally remaining in a stationary position which may be standing or sitting for a prolonged period of time.
Occasional travel or moving from one office location to another or from one department to another at the headquarters building.
Occasional lifting, moving, or adjusting objects up to 20 pounds.
Constant communication with others through various channels including verbal, email, and chat of which the last two may require consistent use of a keyboard and mouse or another electronic device.
Work will be in a commercially reasonable temperature-controlled environment.
Occasional temporary exterior site review which could be in outdoor elements of wind, rain, or snow.
