Overview:

Reporting to the Executive Assistant, the Administrative Coordinator will provide administrative support to various aspects of the Office of the Dean of the Faculty (including various Deans). This role works closely to plan, organize, and execute various dimensions of the office. They will assist the various Deans in important aspects of administration, including coordinating and planning programs, special projects, and events; collecting and analyzing data for special initiatives and reports; drafting and editing correspondence; coordinating with other central offices and academic units as needed.
Responsibilities:

Project management support related to various departmental objectives
Program and project support for various Deans
Assistance with policy revisions and updates; ensure consistency of documentation and website information
Coordinate and plan special projects
Collect and analyze data for special initiatives and reports
Provide periodic scheduling support for meetings and programs
Draft and edit correspondence to various audiences
Collaborate with central offices and academic units on projects, documentation, and other needs as they arise
Coordinate Stanhope Hall related activities including space management, facilities requests, deliveries and mail
Direct faculty, staff and other visitors to various locations within the building
Manage event program descriptions, logistical information, and RSVP links for programs
Provide support for event planning and execution for various teams across the office as new project priorities arise
Assist with attendance tracking at events
Provide support for logistics related to large-scale events
Communicate with vendors and suppliers as needed
Other duties as assigned
Qualifications:

Bachelor’s Degree required
High levels of resourcefulness, influence/organizational savvy, and ability to see projects through to completion
Excellent interpersonal skills; ability to build effective relationships with partners across the organization and institution
Strong written and oral communication skills
Strong attention to detail
Intermediate proficiency with spreadsheets
Ability to conduct research, gather and interpret data
Comfort with change, ambiguity and risk in a fast-paced environment
Must be proactive, able to work independently and still know when to ask supervisor for direction or support.
Strong focus on problem-solving and process-improvement.
Sensitivity to confidential matters is required; must be able to exercise excellent judgment and decision-making skills.
Experience working with diverse populations and commitment to advancing diversity and inclusion goals
